JOB DESCRIPTION  JOB TITLE:                           Centre Administrator ? Blackpool Centre for Early Child Development (Community Development Team) FUNCTION:                         Children Services Development and DeliveryBACKGROUND and CONTEXT The post provides administrative support within the Big Lottery Fund A Better Start for Blackpool multidisciplinary team. JOB PURPOSE Working alongside the Community Development Team to ensure that the team receive effective administrative support. Acting as the first point of contact for numerous stakeholders connected to the project including community members.  KEY RELATIONSHIPS The post holder will report to the Executive Assistant/Office Manager and provide administrative support to the community development team. The post holder will liaise closely with all staff in the Centre for Early Child Development It is expected that the post holder will have contact with colleagues working in linked NSPCC functions, other partner organisations and the wider community MAIN DUTIES AND RESPONSIBILITIES Audio/copy type letters, memos, and other documents, process information and update databases and spreadsheets as appropriate.Deal with incoming/outgoing mail/emails including opening and distributing mail/emails, responding to basic enquiries (e.g. standard requests for information).Undertake routine administrative tasks such as photocopying, faxing, shredding and filing.Organise and minute meetings/events, including co-ordinating dates, booking venues and speakers, organising refreshments and exhibition and booking travel.Maintain diaries for the centre, including making appointments on their behalf. Troubleshoot minor computer problems for the team, taking advice from Information Services department as necessary.Answer calls; take messages or direct calls as appropriate.Receive visitors to the office, and direct them or inform colleagues of their arrival as appropriate.Ensure that all callers and visitors are dealt with sensitively, courteously and efficiently.Utilise the Better Start Community Engagement systems/database to enter details and process information/update database as appropriate.Draft communications in a variety of media for the communications team.Collect insights from local community events to be used within the Community Development Team for communications and other purposes.Ensure that areas where visitors are received are kept tidy at all times. RESPONSIBILITIES FOR ALL SERVICES FOR ALL BETTER START STAFF Maintain awareness of own and others? Health and Safety and comply with the Society?s Health and Safety policy and procedures.Keep up to date with the work of A Better Start for Blackpool through actively participating in team meetings.To comply with NSPCC Diversity and Equality policies and practiseTo comply with all relevant NSPCC safeguarding policiesTo maintain and develop competence in the use of IT systemsUndertake other duties as may be reasonably requested within the responsibilities of the post.NoteAlthough the core duties of the post are set out within the job description, a flexible approach to work is essential.  The post holder may be required to adapt the above duties to take account of changes to working practices (e.g. the introduction of new technology). PERSON SPECIFICATION  Good working knowledge of Microsoft Office (inc. Word, Excel, PowerPoint, Outlook, Calendar) and the ability to adapt this knowledge to use bespoke Microsoft based packages. Experience of working in an office environment providing secretarial/administrative support. Ability to work under pressure and produce accurate e-mails, letters and documents often to tight deadlines. Ability to work flexibly as part of a team. Proven ability to prioritise and organise own workload effectively. Basic numeracy skills in order to collect/collate statistical information accurately. Ability to communicate clearly, with colleagues, service users and members of the public being sensitive to people?s rights irrespective of their age, race, disability, gender, colour, sexual identity or class. Previous experience of using a variety of media for communication purposes such as Social Media. Ability to draft basic letters, emails and notes of meetings. Ability to work on own initiative Ability to deal appropriately with sensitive and confidential material.
