This professional organisation is seeking an articulate and experienced secretary who has exceptional levels of multi tasking and prioritising abilities.This job exists to provide a comprehensive secretarial and administrative support service to the team.Key responsibilities:Diary management and organisation of meetings using Outlook calendar, and meeting room booking facilities. Arranging meetings, including all relevant preparation.Billing clients.Reprographics and binding.Administration.Filing and archiving.Assisting staff in the production of written or visual material (such as letters, reports, memos, tenders, presentations) to companies quality standards using in-house templates and adhering to house style rules.Other ad hoc duties.Job activities:Production of written/visual material (such as letters, reports, memos, presentations) using company systems and conforming to company?s house style rules using MS Word, Powerpoint, Excel, reprographics and binding equipment.Organisation of meetings and other arrangements (such as meeting rooms, refreshments, travel, accommodation).Preparation for meetings (such as agenda creation, and the gathering and distribution of papers in both hard copy format and using our online system).Logging and maintaining a post list.Diary management including using MS Outlook according to company rules.Client and staff communication: dealing with or referring calls and/or swiftly relaying messages (telephone and email).Improving effectiveness of systems or processes where appropriate.Research as required (for example using the Internet).Filing and archiving (paper and electronic) documents (and retrieving when necessary).Dealing with expense claims and updating their Continuous Professional Development records.Other secretarial and administrative activities.If you do not hear from a consultant within 2 weeks of your application then unfortunately on this occasion you have been unsuccessful.
